We put together a small but powerful team of people to give you the best products and the best service. They created a unique blueprint by leveraging our three core competencies: technology, tools, and innovative spirit. This made the process way more effortless, collaborative, and transparent at every step.

This 10-step process was a game-changer, one that made for a flawless journey and experience.

Here's a summary of all the stages of your machine journey:

  • Order placement and deposit -> The journey starts...with a little bit of paperwork.

  • Order confirmation -> We officially get the green light and get to work.

  • Drawings Sign-off -> We aim to create a machine that can be a match for your factory.

  • Production​ -> The design comes to life.

  • Shipping -> The product is on its way.

  • Delivery -> The machine journey is soon to be completed.

  • Commissioning and Training -> We install the machine and train your team on how to operate it.

  • Sign off -> Your approval means a lot.

  • Follow-up -> One last update to check on how you and the machine are getting along.

  • Feedback -> Your opinion is what makes us better.

This sums up everything our team and yours need to do to deliver a top-quality product on time. Every step requires continuous communication with you. The product you will order will be only as good as our teams are, so be prepared to get a machine that is made specifically for you to suit your needs, erase your concerns, and complete all your requests.  

Order placement 

This marks the beginning of our partnership, where we strike a deal and start our collaboration. The order placement may happen through an email, call, or meeting. In this stage, we listen to your needs to understand the challenges we may face in this project and your requests. We also try to estimate a time frame to predict approximately when you will receive the finished product. While calculating all these variables, we will also discuss your order's costs and arrive at a final reasonable estimation.

After this initial phase, we go on with the making of the first deposit. You will get an Order Acknowledgement document with the agreed costs in the upcoming six days, which you will have to sign and resend in three days. This deposit is necessary so that we can move to the forthcoming stage. For every deposit needed, we will send you reminders via email. We will also send you a "Welcome Pack", a physical copy of this blueprint, to inform you about the journey before even starting.

Order confirmation

Completing the procurement stage is when we have fully set our partnership foundations and start working. The official time of production begins now. This moment is crucial because it determines all the upcoming stages of production and delivery. If this initial paperwork is done quickly and on time, we start sooner, so you'll have to wait much less for the finished product to arrive in your plant.

Drawings Sign-off

RS Machinery has the most skilful engineers doing the designing of the machinery we produce. In this stage, we combine our knowledge with your previous meeting's feedback to create something that will adapt seamlessly into your plant and improve your whole workflow. In addition, we will continually reach out to you to look at the progress and contribute with opinions and ideas that will further enhance our design during this stage. Finally, the final drawings will be sent to you as a document, where you'll have to sign and confirm your approval. Without the signed designs, we cannot move on to the implementation part.

Production

In this stage, we start the production process. This stage time frame depends on the machine's complexity, and it can last from 8-16 weeks. Finally, we will organise the second payment deposit request and the transport queries according to the estimated completion time.

You will get weekly updates by email that will inform you if the production stage is going as planned or any mishaps. Also, our team will be fully available to give you further information during this process. If you want to get more information than the weekly emails provide, or you have some questions, you can write back anytime, and we'll respond. 

Shipping

As you may know, building the machinery is a process that starts in the UK and ends overseas by third-party providers. The transfer of products follows strict precautionary measures and maximum delivery security. 

The distance, shipping method and necessary documents may create shifts in the timeline, as it cannot be fully predicted. Paperwork or natural causes (like storms or COVID-19 related) may lead to delays that can postpone the arrival date. We will update you weekly on the shipping status, inform you of every possible issue, and give an overall evaluation whenever needed. 

Delivery

After the machine's arrival, we execute several inspections to ensure that everything is assembled right and detect any possible flaws. When all PDI's (pre-delivery inspections) are done, we can go ahead with the installation in your plant. We will be in constant communication with you so that we can set the date of the installation. 

Before this process, your team will have to lay out the necessary conditions for implementing the machinery, meaning you will have to prepare some electrical services and other technicalities. Then, we will give clear instructions so that everything can be ready as it should.

Commissioning and Training

Our engineers will train you and your team on all the machine's operations. It is essential to know that the installation process is a step where we need full support from you and your team. While we will be in charge of the technical part, we need your collaboration to learn how to operate the machine as fast as possible. We will install the factory alongside imperative test runs and training days with your shop floor professionals. This process may last a week for large machines, but it takes way less for smaller types. 

Final Sign off

The final payment deposit will follow within three days from the sign-off arrival for the completed installation. After we are done with the implementation and your team's training, we will send one last paper to sign. Through this document, you will give written approval that everything went according to plan. This stage takes us near the end of our journey to the follow-up sessions. In this confirmation document, you can also write to us if revisits are needed so that we can plan the follow-up according to your needs.

Follow-up

The follow-up meetings serve as a general check-up. We have noticed that just one training isn't usually enough when operating a new machine from many years of experience. That's why we created follow-up training to guide your team regarding possible operating complications further. We pre-schedule this meeting, so you and your team can take time to prepare for anything you want to discuss with our technicians. However, you can reach out to us whenever you need. This follow-up happens after 3-4 weeks. 

Feedback

The first weeks are crucial because your team will get to know the machine better while operating it. After this period, we will send you a curated post-delivery survey where you can write us your opinion about your whole experience. You can review every step of the journey and make suggestions that may improve our performance. We can't wait to hear it all, hoping this will be one of many collaborations between us.
